How to Organize Your Family's Tax Documents in Canada

It is March. Your accountant needs your T4s. You know you have them -- somewhere. Maybe in the filing cabinet, maybe in your email, maybe in that folder on Google Drive you made last year and promptly forgot about.

If this sounds familiar, you are not alone. Most Canadian families have important tax documents scattered across at least three different locations. The documents exist. Finding them when you actually need them is the hard part.

This guide covers every document you need for Canadian tax season, where to find each one, and a system for making sure you never lose them again.

The complete Canadian tax document checklist

T4 -- Statement of Remuneration Paid

Your employer must send this by the end of February. Shows employment income, CPP, EI, and tax deducted. One per employer.

T5 -- Statement of Investment Income

From your bank or investment accounts. Shows interest, dividends, and capital gains.

RRSP Contribution Receipts

From your RRSP provider. You may get two receipts: one for the first 10 months, one for the last 60 days.

T2202 -- Tuition and Education Amounts

From your post-secondary institution. Can be transferred to a parent or spouse.

Childcare Expense Receipts

From daycare, after-school programs, or summer camps. Must include provider name, SIN or BN, and amount.

Donation Receipts

Official receipts from registered charities with registration number and eligible amount.

Medical Expense Receipts

Prescriptions, dental, glasses, physio -- anything not covered by benefits. Keep for any 12-month period in the tax year.

Notice of Assessment (Previous Year)

From CRA. Contains your RRSP room and carry-forward amounts. Available in CRA My Account.

Where to find documents you are missing

Check CRA My Account first

CRA My Account shows most of your tax slips digitally. Log in and check the Tax Information Slips section -- it usually has everything your employer and bank have submitted by mid-March.

T4s come from your employer, not CRA. Contact payroll or HR if you have not received yours by early March. You need one T4 from each employer if you changed jobs.

A system that actually works

Keep last year's Notice of Assessment

The most commonly lost document. Contains your RRSP room and carry-forward amounts. Download it from CRA My Account right now.

Keep tax documents for at least 6 years

CRA can reassess your returns for up to 6 years after the original notice of assessment. Keep all supporting documents for at least that long.
